Privacy Policy
Effective date: October 13, 2026
What happens to your documents and your information when you order a translation from Docs in English or visit docsinenglish.com: what we collect, why, who else receives it, how long we keep it, and what you can ask us to do.
Who we are
Docs in English is a certified translation service based in Roseville, California. Questions about this policy or your information: hello@docsinenglish.com.
What we collect
From you, when you order or ask a question:
- the documents and messages you send us by email, text, WhatsApp or Telegram, with the name and the number or address they come from;
- your name, your contact details and what you tell us about the order: which documents, where they are going, the deadline;
- the payment confirmation: name, amount and date. We never see your bank card or banking login.
Your documents
Documents often hold sensitive information: dates of birth, passport numbers, family details. We use it only to translate and certify those documents, and we ask for nothing beyond them. The site itself has no forms and does not ask for such data.
What your browser sends
When you open the site, your browser sends technical information to our hosting provider and to the analytics services listed below: IP address, browser and device type, the pages you open, the page you came from, date and time.
What we use it for
- to translate, certify and deliver your order, and to answer questions about it later;
- to confirm a translation if an agency asks us to;
- to see from anonymous visit statistics which pages are useful and which ads bring people to us, and fix what doesn’t work;
- to protect the site from abuse and to comply with the law.
Who else receives it
We never sell your information or share it for advertising. Only these services receive it, each for its own job:
- An AI tool, Claude by Anthropic, prepares the first draft of the translation. Training on our data is turned off in its settings. The translator checks every line against the original and signs the certificate.
- Google Drive stores your files.
- Google Workspace stores the email we send and receive.
- Cloudflare hosts the site and delivers every page.
- When you write to us on Telegram, WhatsApp, text or email, that service handles your messages under its own privacy policy.
Other cases
We may disclose information when the law requires it, to protect our rights or someone’s safety, or to a new owner of the business, who would have to follow this policy.
Analytics and cookies
- Google Analytics counts visits and clicks with cookies. Google signals and ad personalization are turned off: your visits are not used to show you ads. If you came from one of our Google ads, Analytics tells Google Ads that you pressed a contact button, so we can see which ads work. You can opt out of Google Analytics with Google’s browser add-on at tools.google.com/dlpage/gaoptout.
- Cloudflare Web Analytics counts page views and page speed. Cloudflare adds its script to our pages itself; it uses no cookies for this and, according to Cloudflare, does not follow you across websites.
- No session recording, no chat widgets. Fonts load from our own domain.
- Your browser remembers the language you chose (in its local storage). This stays on your device and is not sent to us.
- Your browser also remembers how you reached the site (for example, from a search engine, a business listing or a link in an ad, along with the click identifier the ad service adds to its link) and gives your request an order number. When you press the Telegram, WhatsApp, text or email button, the number is added to your message, and we record the number, the button, the page and how you reached the site. Along with these we record the identifiers Google Analytics assigns to your browser and your visit. This record holds no name, phone number, email address or IP address. On later visits the site uses the number to check whether the order is complete.
- We do not track you across other websites and do not let other companies do so through our site. So the site works the same way whether or not your browser sends a Do Not Track or Global Privacy Control signal.
How long we keep it
Documents, translations and messages about an order: 3 years after the order, because an agency may ask us to confirm the translation. Then we delete them. Ask us, and we will delete them sooner, unless the law requires us to keep something.
Visit statistics are kept by the analytics services above under their retention settings and show no names.
Records of contact button clicks: 3 years after the order they belong to, the same as the order itself.
How we protect it
Only the translator on your order can open your files. Email and storage are encrypted by their providers. No way of sending or storing data is completely safe; if a breach affects your information, we will tell you as the law requires.
Your rights
Write to hello@docsinenglish.com to see the information we hold about you, correct it or delete it. We answer within 30 days.
You can block or delete cookies in your browser settings; the site works without them.
Children
The site is for adults. Parents often send us their children’s documents, such as birth certificates, and we handle them like any other document in an order. We do not knowingly collect information from children under 13; if you think a child has written to us, tell us and we will delete it.
Links to other sites
Our guides link to the rules of USCIS, the Department of State and other agencies. Their own privacy policies apply on their sites.
Changes to this policy
When we change this policy, we post the new version here with a new effective date. If a change affects information we already hold, we tell you before it takes effect.
